Executive Administrative Assistant - Job Description
We are looking for an Executive Administrative Assistant who will consult and assist company's leaders on a range of different administrative and organizational tasks. Your duties will include working on a one-to-one basis and perform assignments related to executive’s working life and communication. We expect you to be competent, organized, and able to fulfill your tasks in a timely manner. This is a remote position, but it is preferred to be located near Minneapolis to support leadership in those locations. Work will be done remotely.
Executive Assistant’s responsibilities include managing calendars, making travel arrangements, preparing expense reports, assisting with a variety of other tasks as needed. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members.
Responsibilities
- Act as the point of contact among executives, employees, clients, and other external partners
- Create and maintain an efficient documentation
- Organize efficient contact between the executives’ and company's clients
- Administer calls, messages, and daily correspondence
- Attend events as assigned, taking dictation and minutes and keeping the corresponding data
- Arrange meetings, appointments, and travels, providing reminders
- Handle requests and queries appropriately
- Prepare reports, presentations and briefs
- Manage information flow in a timely and accurate manner
- Manage executives’ calendars and set up meetings
- Make travel and accommodation arrangements
- Rack daily expenses and prepare weekly, monthly, or quarterly reports
- Assist in organizing and prioritizing tasks with deadlines
- Provide researched information to leadership on a variety of topics
- Format information for internal and external communication – memos, emails, presentations, reports
- Screen and direct phone calls and distribute correspondence
- Assist with payroll, accounting, recruiting, and hiring efforts
- Use the full Office Suite to account for information in different places and compile into one organized location
- Utilize Microsoft Teams/Outlook to communicate with on site and remote employees
Executive Administrative Assistant requirements are:
- 3+ years' experience of working on an Executive Administrative Assistant, Senior Executive Assistant or other relevant position
- Solid experience with office management systems and procedures
- Proficiency in English and in-depth knowledge of MS Office. Spanish language knowledge is a plus.
- Strong planning and time management skills, with an ability to multitask
- Excellent verbal and written communication skills
- Good knowledge of latest trends in office gadgets and applications
- Reliability, discretion, and confidentiality
- High School degree: additional qualification as personal assistant will be a bonus
